How WhyFire collects, uses, and protects your information across our platforms.
WhyFire ("we," "our," or "us") operates professional sales tools and consumer education platforms for the fireplace industry. This Privacy Policy explains how we collect, use, and protect information when you use our services, including both our consumer-facing Online Fireplace Estimator and our professional WhyFire Pro platform.

WhyFire Pro can connect to third-party business systems at your direction, so that estimates you build in WhyFire Pro can become invoices, orders, or jobs in the system you already run your business on. These connections currently cover QuickBooks Online, ServiceTitan, and Striven. Each one is optional, you choose whether to create it, and you can end it at any time.
Across all connected services, we send only the information needed to carry out the action you asked for. We do not use data from a connected system for advertising, and we do not sell it.
How the connection is made. When you connect QuickBooks Online, we send you to Intuit to sign in and approve the connection. You enter your QuickBooks credentials on Intuit's site, never on ours. WhyFire does not receive, see, or store your QuickBooks username or password.
What we store. Once you approve the connection, Intuit issues WhyFire Pro an access token and a refresh token that authorize it. We store those tokens encrypted at rest, along with your QuickBooks company identifier, company name, country, and cached preferences such as your default tax code. Access is limited to the accounting permissions you approve when you connect.
What we send to QuickBooks. When you choose to create an invoice, we send only what is needed to create it: the customer name and contact details you enter or select, and the line items from your estimate, including product name, SKU, quantity, unit price, and the applicable tax code.
What we read from QuickBooks. To build an invoice we read your customer list when you search it, your tax codes, your products and services, and your company's country setting.
What we do not do. We do not access your bank feeds, payroll data, or financial reports.
Ending the connection. You can disconnect QuickBooks at any time from the Integrations page in WhyFire Pro. When you disconnect, we delete the stored tokens and connection settings from our systems. Invoices already created in your QuickBooks company stay in QuickBooks, where your agreement with Intuit governs them.
How the connection is made. ServiceTitan connections use credentials you issue yourself. You create an API application inside your own ServiceTitan account and enter your tenant ID, client ID, and client secret in WhyFire Pro. You control that application and can revoke it from ServiceTitan at any time.
What we store. We store your ServiceTitan tenant ID and client ID, your client secret encrypted at rest, short-lived access tokens encrypted at rest, and the settings you choose — which records you want created, and your selected business unit, job type, campaign, and booking provider.
What we send to ServiceTitan. Depending on which records you enable, we send the customer name, email address, phone number, and service address you entered, along with a summary and description of the requested work and, when estimate creation is enabled, the line items from your estimate.
What we read from ServiceTitan. We read your customer list when you search it, customer contact and location records needed to attach the work to the right customer, and your pricebook services so that estimate lines can be matched to services you already have.
Ending the connection. You can disconnect ServiceTitan at any time from the Integrations page in WhyFire Pro, which deletes your stored credentials and settings from our systems. Records already created in your ServiceTitan account stay there, where your agreement with ServiceTitan governs them.
How the connection is made. Striven ordering is enabled for your dealer account as part of your WhyFire setup rather than by a self-service connection screen.
What we send to Striven. When you choose to create a Striven order, we send the customer name, email address, phone number, and service address you entered, together with the order details from your estimate. These requests are routed through WhyFire's own service rather than sent from WhyFire Pro directly to Striven.
What we read from Striven. We read your customer records when you search them, so that an order can be attached to the right customer.
What we retain. WhyFire Pro records that the order was created and stores the resulting reference on the estimate, so you can trace an estimate to the order it produced.
Once information reaches your QuickBooks company, your ServiceTitan account, or your Striven account, that provider's own privacy policy and your agreement with that provider govern how it is handled. This policy covers what WhyFire Pro sends, receives, and stores.
